Traineeship title: Front Office Internship at ESN Lisboa [Administrative + (Optional) PR & Events]

 

Number of Working Hours per week: Between 20h-30h (expected)

 

Preferred Period of Internship: Mid-August to Mid-October |September - February | September - June | Mid-January to Mid-March | February - June | 

 

Compensation: There is no financial compensation given directly by ESN Lisboa, however the internship can be funded by the Erasmus+ Programme, proving there is a Learning Agreement accepted by the sending and receiving Institution, together with the Acceptation Letter.

 

General Description: The Front Office interns will be the interface between the Erasmus and ESN Lisboa at our office while being always an ambassador to the association at any moment. The intern will help the association with its day-to-day Administrative/Logistic tasks and can optionally help in the organisation of events.

In the period of most movement (Welcome Weeks - mid-August until mid-October or mid-January until mid-March) the interns major duty will be to exclusively perform administrative tasks at the office and represent ESN in Welcome Days in the Universities or at Partners Events/Locales (Such as Study In Lisbon Lounge from Lisbon Municipality). There is a maximum flow of incoming students in that period therefore additional Human Resources for logistic/administrative work is required.

After the Welcome Weeks, as the flow of the students decreases, the interns can choose to join one/two events departments and focus the internship in the organisation of events thus performing the optional PR & Events part of the internship.Interns are incentivised to choose departments and perform at least one of the optional tasks to improve the quality of the internship outcome.

Traineeship title:

IT traineeship at ESN Lisboa

Number of working hours per week:

20 hours (estimated)

Detailed programme of the traineeship period:

The intern will have a two-week intensive training provided by the secretary and the human resources manager about office day to day tasks and management. The intern will then be integrated in the member’s community through teambuilding activities. The programme of the intern will be expanded for organizing events with the team members as soon as a positive evaluation from the work developed at the office comes. There will be a constant workload since the service provided to the students is consistent and daily.
Major duties and responsibilities: 

  • Interfaces with Erasmus students on a day-to-day basis in order to provide guidance and expert advice to them on;
  • Performing day-to-day administrative tasks such as maintaining information files and processing paperwork;
  • Preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, scheduling meetings;
  • Communicating with people outside the organization, representing the organization to customers, the public, and other external sources;
  • Monitoring and reviewing information from materials, events, or the environment, to detect or assess problems;
  • Providing guidance and expert advice to Erasmus students or other groups;
  • Assisting with graphic designs, with focus on the website, newsletter and other projects which are connected to web interface design;
  • Providing graphic design in orther to meet the PR department's requirements;
  • Developing constructive and cooperative working relationships with others, and maintaining them over time;
  • Prepare and submit all attendance and membership reports as requested by the member of the ESN;
  • Reviews correspondence, reports and forms to check for content, correct spelling and grammar, ensuring that ESN Lisboa policies are followed, and recommends revisions; 
  • Operates and coordinates the flow of information both internally and with other organizations;
  • Reports directly to the Communication Manager and the Head of Communication Department . Must be in direct contact for any help or doubts;
  • Newsletter- every week, send an email to the Board and Heads to know what must be featured in the newsletter, write the texts;
  • Website- Aid the Communication Department  in updating of our site.

Requirements:

  • Efficient interpersonal communication skills- proven abilities to communicate clearly and concisely both verbally and in writing;
  • Must have the ability to work independently and as part of a team handling confidential information;
  • Plan and organize work requiring in-depth understanding, its strategic direction and ability to integrate the work and complete it within the time frame; 
  • Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions;
  • Ability to perform hard work in a fast-pace work environment;
  • High level of English, Spanish and Portuguese is advantage;
  • Good command of office software applications: Word, Outlook, Excel, Power Point;
  • Ability to prioritize and meet deadlines while complying with established policies and procedures of the building and district;
  • Identifies and resolve problems in a timely manner, gathers and analyzes information skillfully;
  • Experience in theme/template creation,
  • Know how to work with Drupal and Photoshop.

 

 

Traineeship title:

Communication traineeship at ESN Lisboa 

Number of working hours per week:

20 hours (estimated)

Detailed programme of the traineeship period:

The intern will have an intensive training provided by the ESN Team about both office day to day tasks and management, and Communication tasks and management. The intern will be integrated in the member’s community through teambuilding activities and ESN events, and will later be allocated to the Communication Department, where he/she will be responsible for tasks such as: photography, video, ESN Tv, ESN News, ESN Blog, ESN Newsletter and ESN Social Networks. 

There will be a constant workload since the service provided to the students is consistent and daily.

Major duties and responsibilities: 

  • Interfaces with Erasmus students on a day-to-day basis in order to provide guidance and expert advice to them;
  • Performing eventual administrative tasks such as maintaining information files and processing paperwork, , together with the Administrative Intern; 
  • Distributing leaflets, flyers in order to keep the Erasmus students informed about trips and events; 
  • Communicating with people outside the organization, representing the organization to customers, the public, and other external sources.
  • Developing constructive and cooperative working relationships with others, and maintaining them over time;
  • Operates and coordinates the flow of information both internally and with other organizations through the use of email;
  • Photography & Video - Aid the Communication Department in photographing the events and/or creating video content; 
  • ESN TV- Interview the Erasmus during the events and edit the footage;
  • ESN News- Write reports about events for the website;
  • ESN Blog – Develop Erasmus and ESN related content;
  • Social Networks – Manage and update ESN Lisboa’s Social Network Channels (Facebook, Instagram, Twitter, Snapchat, Whatsapp, Youtube);
  • ESN Newsletter – Edit and send the weekly ESN Newsletter to the Erasmus students;
  • Work directly with the Public Relations and Events’ Intern in promoting ESN events;
  • Report directly to the Communication Manager and the Head of Communicatio Department. 
  • Must be in direct contact for any help or doubt.

Requirements:
